Description | They are seeking an enthusiastic and detail-oriented Office Team Member to perform daily accounting tasks (accounts payable / accounts receivable), order processing and assistance with overall office operations. Primary Responsibilities: Accounts Payable: • Enter vendor’s invoices into QuickBooks on a timely basis. • Work with management & vendors as required to maintain timely payments. • Perform payment runs, including the printing of checks. • Troubleshoot & correct any Vendor/Delivery errors that arise. • Manage and respond to the AP Mailbox Accounts Receivables: • Process account receivables (check, EFT & credit cards) • Generate accounts receivable reports to manage past dues proactively. • Collaborate with Technical Outside Sales Professionals to follow up on payment of past dues. • Report overdue payments to the management team to consider holds or credit payments. Account Invoicing: • Invoice customers as per their account invoicing schedule Ad-Hoc Office Support: • Order processing • Customer sales support • Problem-solving customer/sales issues. • Salesperson follow-ups & notifications. • Organizing & filing customer/vendor information • Answering phone as required. Secondary Team Support Responsibilities: Commissions & Expenses: • Review sales data for proper costs and commissions • Collect and review expense reports as submitted. • Discuss with the CEO any irregularities or issues with expense reports. • Prepare individual sales commission/expense reports for sales representatives. • Have reports completed for final review by the 15th of every month for CEO review. • Forward billing amounts for payment but hold any accounts if expense reports have not been turned in. Taxes: • Run state tax reports (i.e.) Minnesota, Iowa, and Wisconsin • Actively maintain Tax exemption certificates • Must be familiar with States, Federal taxes, EFTPS, and general payment requirements |
Requirements | • Associate’s degree in accounting or at least two years of office/bookkeeping experience, preferably within a business/services environment is a plus. • Proficiency with QuickBooks Accounting Software and Microsoft Office Products • Excellent communication skills, both verbal and written. • Produce work with a high level of accuracy. • Proficient data entry. • Ability to work efficiently as part of a small office team. • Professionalism and organizational skills • Must be self-motivated, efficient, energetic, and dependable, and work well with deadlines |
