Pay: $31.00–$41.00 per hour (DOE)
Shift: 1st Shift | Monday–Friday

Job Summary:
We are seeking a detail-driven Project Document Specialist to provide essential administrative, documentation, and project coordination support for large regional transmission initiatives. In this role, you will manage document control processes, coordinate project activities, and assist with communication across internal teams, utilities, vendors, and contractors. The ideal candidate is highly organized, comfortable working with complex information, and skilled at maintaining accuracy, compliance, and consistency across project documentation.

Key Responsibilities:
Project Support:
• Assist project managers with scheduling, agendas, meeting minutes, and progress reporting
• Prepare presentations, reports, and project documentation
• Coordinate communication across internal teams, utilities, contractors, and vendors
• Support leadership with work plan updates, onboarding, and offboarding processes
• Organize travel arrangements, facilities needs, and project-related events
Documentation Management:
• Establish, implement, and maintain document control standards and procedures
• Oversee the lifecycle of project documents including creation, review, revision, and archival
• Manage document systems such as SharePoint and MS Teams
• Conduct audits to ensure accuracy, compliance, and correct versioning
• Maintain permissions and access levels for document libraries
• Train staff on document processes, workflows, and best practices
• Ensure efficient retrieval, organization, and storage of all project materials
Other Duties:
• Develop high-quality templates, presentations, and reporting tools
• Mentor staff on documentation workflows and project processes when appropriate
• Ensure adherence to safety, security, and confidentiality requirements
• Assist in developing and implementing cost approval workflows to improve efficiency
• Perform special projects as assigned

Requirements:
Education & Experience
• Two years of post-secondary education in business or related field and 3+ years of experience in business administration or project support
OR
• 5+ years supporting large-scale project management operations
Skills & Abilities
• Strong organizational and time-management skills
• Excellent written and verbal communication skills
• Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook)
• Experience with document management systems; SharePoint preferred
• Ability to review and interpret detailed documents and financial data
• High attention to detail with strong accuracy and quality control skills
• Ability to maintain confidentiality and manage shifting priorities
Technical Knowledge
• Advanced Microsoft Office and SharePoint proficiency
• Ability to create spreadsheets with formulas, pivot tables, and data visualization
• Strong business writing, formatting, and document editing skills

Working Conditions:
• Regular sitting, standing, walking, and use of office equipment
• Frequent use of hands to type, handle documents, and operate computer systems
• Ability to lift up to 25 lbs as needed
• Work performed in a professional office setting with moderate noise levels
• Occasional exposure to louder environments during site visits
