The Sales and Operations Coordinator is responsible for efficiently managing key operational processes to support sales, procurement, and financial management. This role involves entering sales orders, creating shipping documents, managing accounts receivable and payable, and purchasing materials to ensure smooth business operations.
Description
  • Accurately enter and process sales orders in the company’s ERP or order management system.
  • Verify order details, pricing, and terms to ensure accuracy and completeness.
  • Coordinate with the sales team to resolve discrepancies or clarify order details.
  • Prepare shipping documents, including bills of lading, packing slips, and export documentation if required.
  • Coordinate with warehouse staff and shipping providers to ensure timely and accurate deliveries.
  • Monitor shipment statuses and resolve any shipping-related issues.
  • Generate and send invoices to customers based on sales orders and shipping confirmations.
  • Monitor and manage outstanding receivables, following up on overdue accounts to ensure timely payments.
  • Record payments and reconcile accounts in the financial system.
  • Create purchase orders based on material requirements and stock levels.
  • Communicate with vendors to confirm order details, negotiate pricing, and track deliveries.
  • Maintain accurate inventory records and ensure materials are stocked as needed.
  • Verify and process vendor invoices, matching them to purchase orders and receipts.
  • Schedule and prepare payments in accordance with agreed payment terms.
  • Maintain accurate records of accounts payable and assist with resolving invoice discrepancies.
  • Work closely with sales, finance, and operations teams to streamline processes and resolve any workflow bottlenecks.
  • Provide regular status updates on orders, shipments, and payment activities to relevant stakeholders.
Requirements
  • Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with ERP systems.
  • Exceptional organizational skills and attention to detail.
  • Excellent communication and interpersonal skills for interacting with internal teams, customers, and vendors.
  • Problem-solving abilities and capacity to manage multiple tasks simultaneously under deadlines.
  • Basic knowledge of accounting principles and financial processes.
  • Experience in a manufacturing or distribution environment. (preferred)
  • Knowledge of supply chain management and logistics processes. (Preferred)
  • Familiarity with QuickBooks, NetSuite, SAP, or similar software. (Preferred)
Physical Reqs
  • Primarily office-based with occasional interaction in warehouse or shipping areas.
  • Standard business hours with potential for overtime during peak periods.
